What a good contractor estimate includes
Homeowners compare quotes side by side. The clearest one often wins, even when it isn't the cheapest. Whether you write it yourself or with AI, include:
- Scope in plain words: what you'll do, room by room or phase by phase.
- Line items: labor and materials separated, so the customer sees where the money goes.
- Exclusions: what isn't included (permits, fixtures, disposal, electrical changes). This prevents most arguments later.
- Assumptions: "drywall is sound", "no rot behind the tub". If an assumption turns out wrong, the price can change, and the customer already knows it.
- Timeline: how long the job takes and when you can start.
- Payment terms and how long the price is good for.

- Hand off the job. Type the job notes, or attach site photos, measurements, a PDF from your supplier or a screenshot of a material list.

- Check it and send it. Copy it into your email or invoicing tool, save it as a file, or send it back with notes like "add a line for disposal" or "make it two options".
AI drafts are fast, not perfect. Always check quantities and totals before a quote goes to a customer, especially on jobs you haven't seen in person.
Turn estimates into jobs with lead follow-up
Many quotes don't get a yes or a no, they just go quiet. A short, friendly follow-up brings a lot of them back. A simple rhythm you can put on a schedule:
- Same day: reply to every new lead with the questions you need to quote and an offer of a site visit.
- 2 to 3 days after the quote: check in, offer to walk through any line or adjust materials to hit a budget.
- About a week later: mention your next opening on the schedule.
- After the job: ask for a review while the customer is happy.
